Re-organizing 2257 records... how would you go about doing...
Ok, the actual records are not what we are messing with. We are getting very good at keeping them all in perfect order. But, after reading an article in AVN a couple weeks back and seeing that the FBI commended a company for also having a box full of note cards that they were using as a master "card catelog" for the entire collection of releases and id's etc...
So, what information would you include if you were me on the notecards? We will be having two seperate card catelogs (one for real legal names and one organized based on stage names/name used in product) Name: Date of birth: Date of production: 1st date of Publishing on site: What do you think? Should I include any more info in the card catelog? or would that be just complete over-kill?

The law requires you to have a cross-referenceable electronic database to look up models and dates and titles and urls. Why would you want to have a paper card catalog?

The best way is just to memorize it all.

I use www.zei2257.com. Some other big names are using the software. No need to cards when you have this application.

It does not need to be electronic
Quote:
Guideline: 1. Creating a record for each performer used in a depiction of sexually explicit conduct in order to verify that they are at least 18 years old 2. Maintaining the records in a particular manner at the producer?s place of business for at least 7 years. Copies must also be maintained by ?secondary producers? of the content in question. 3. Providing a statement describing the location of the records and availing your business to unannounced, warrantless, ?administrative? inspections by government officials for at least 20 hours a week so they can go through these records to ensure they comply with the regulations. Jim is correct in stating that it must be cross referenced with title of each scene and/or URL. But that can be done by writing in down information on the card. This is an example only: Stage Name ? Legal Name Additional Name Performed Under Maiden Name If Any Date of birth: Title and Date of production: URLs (DVD title) where media is found date published: Again, you should talk to legal on this but that is how it can be done. I would file under stage name as if you are inspected most likely they would ask you to pull files by the stage name, we file both stage name and legal name both in paper and electronically searchable. But is does not state that its need to be electronic database. Look at 2257 D and E for a proper understanding We have been producing content for years and if you?re going to produce content or hire someone who does make sure they know what they are talking about, they should be members of the FSC as you should be too and have proper legal representation. As a secondary producer I would at the least hire an attorney ( I use Walters) To annually review your records and keep you protected. Also NEVER, NEVER, NEVER use your home for record keeping if you can. My two cents?hope it helps |

Honestly, you should sit down with your lawyer and work a system out on his advice.
