BUSINESS THREAD : Trade Show Attendees List
 
Here is a tricky Question, Hopefully I'll have serious and constructive answers :)

Ok, I'm in a kind of "Damned if you do, Damned if you Don't" situation here...

I have an attendee of QWEBEC Expo who asks me for several weeks now to send him the list of our attendees.

I told him already that many many of your attendees are not on the list yet because, being a small show, many of our attendees register at the door, so until the first day, we don't know yet that they are coming... Some other confirmed and give us a solid YES, but haven't entered their registration yet or we are still awaiting for the staff lists form some of our sponsors. So the list is not complete at the moment.


I am honestly a bit uncomfortable with this...

1- This is my private a data, it's kinda asking a program sending you a list of their affiliates.

2- I wouldn't mind giving it to my sponsors on request though.

3- Before saying yes right now, keep in mind that YES you'll have everyone's names & emails, but THEY will have yours too...

4- Since many are not from the "active" community here, I'm not sure if they would appreciate to have their info given away like this. I imagine the guy get emails from "PORN COMPANIES, OMG", Just because he's registered to an upcoming Adult Industry Event, and the wifey doesn't know about it yet...

5- On a legal side, is it kinda against some "Privacy Policy" common sense.

I asked some others and one told me "yes" and other ones told me "NO WAY". As far as the 2 BIG ONES Are concerned, aside to their major sponsors, I'm pretty sure the answer is no.

Eric or Side Chick, Are you guys giving this? I can understand that it can be yes to your sponsors, but to other attendees ?


I'm open to hear what you have to say about it.

I would be pissed if someone gave out a list with my full name, email and adress thats not a list that should be given out, if anythig give him a list of what companies and or programs will be there

at european shows its pretty common but only name & company, no other data

and there are always people who ask not to be included on the list, usually those the police is after ;)

I agree with MaDalton, that providing a list of attendees is fine, just do not release your contact information that you have on them. Its best if you send an email to your contacts on behalf of your sponsor.

list of company names should suffice, if they can't figure out the rest in order to set up meetings, etc. they disqualify themselves from attending.

I don't know if The Phoenix Forum still does this or not, but I remember years ago when I registered I also provided them with a "name" and "company" which would be added to their online attendee list. If you do not have something similar to this setup, I don't think you should be handing off contact information to ANYONE without prior consent.

Frankly I would be curious, if not concerned, as to why this particular attendee is so demanding in regards to an attendee list.

I remember 2 years ago somethign happened and a list of phoenix forum attendees and email went out and a lot of people were pretty pissed off...

So Ill go ahead and say no it wouldnt be appreciated by most...

I'd add a checkbox on your signup page so that people can opt into a public list like this one. For this particular guy asking for a list of attendee info, tell him to fuck off.

I know you're smarter than that Michael. That's a no-brainer. Unless it's KNOWN to your attendees that the information is going to be made available to others (like the Phoenix Forum did, and it was GREAT for contacts I may add), you're risking YOUR reputation and your SHOWS reputation.

Unless you're in it for the short term (which I don't think you are), handing out that information is risking too much. This industry already has too many people fucking each other over and I KNOW that you're above that.

For god's sake...aren't they going TO the show? Do they not have the network capabilites to MEET the other attendees in person? Or are they too shady to WANT to meet your attendees in public and want nothing more than to pay for the list and spam them after-the-fact?

1. The guy is either worried about who he may run into.
2. The guy is worried that it will be all low class people or a waste of his time.

Either way, I'd tell the guy to pound salt and he doesn't need to come.

If you decide to do this though, let me know. I may be interested. There's some hot models in Montreal that will surely attend your show and it may be worth having their personal contact info so I could sell it to the highest paying stalker.

A 'list of attendees' is not a list of full names, contacts and ways to harass them. No need to get all dramatic.

Thanks to all, very good advices here.

From what I can understand, the guy comes from a mainstream billing company from Germany. So maybe this is the norm at mainstream tradeshows there.

Ok I set up a real time attendees page that I haven't released yet...

This page have the following info for now :

I have never been involved with the makings of an industry show. but what I would o if I were you in this situation is...

Forgo this years list being public... Keep it in mind for next. The suggestion Fuze laid out to you that perhaps have a checkbox on your registration page allowing people to opt into your public list.

Stay safe and horde all the info to yourself this year. Think about the rolodex booklets and the list next time...

Sounds like a cheap way to get a qualified SPAM list.

Connections are only made if you have a conversation with someone.
A cold call email doesn't get much play in our industry.

Either way it should be an opt in.
Most business owners want our contact info out there.
Many webmasters and affiliates - don't

First name/last name / website / company name / business niche
That would be good to plan appointments and make notes who to speak to.

(Do ask Sascha why he's going to Montreal on the last minute..)

I think everyone who attends a show wants others to know they will be there... of course there will always be exceptions to that.

Adult Who's Who did a guide for the Phoenix show 2 years ago.. that was very helpful and I still have it.
That was opt-in.

Hi Michael,

Here's a question you can ask him. WHY do you want a list of attendees? Is this person about to start up a competing show? Will he spam us?

As a Canadian, you MAY have a privacy issue to worry about. Canadian Privacy laws are different then they are in the US. You have to inform attendees that you may make their info available to others before they sign-up for example.

Anyway, I would just refuse to answer him. Tell him to start a thread and let others announce who's going and who's not.

I like the idea though of publishing the names of (actual) attendees in the show guide. It's like a little free advertising for everyone. Neat!
