We have an online database that is exported to a spreadsheet whenever changes are made. The online database also has copies of ID's and releases and whatnot.
We also have paper copies of all id's and releases in a file cabinet, along with "copies of the depictions" stored in digital format. (you can't exactly print a video....LOL)
So we have records on a server, an external hard drive, and paper copies also.
Your idea about letting the affiliates download the ID's isn't a bad one, but they need to download it BEFORE they publish the content, not when Johnny Law is looking over their shoulder.
